Team and roles

Invite people to help with your event, and what each role can do.

Everyone on the team signs in with their own email. Open Team in the event (under Settings) to see who works on it and to invite more people. The wedding party needs no account: see Wedding party (crew mode).

Roles in plain words

  • Host: can do everything, including the team and billing.
  • Co-host: the same as a host, except billing.
  • Planner: the same as a co-host, except gift amounts and approvals in the plan. Also sees the team-only planning items.
  • Coordinator: guests, RSVPs and messages, seating, photos, the Venue screen and games, check-in, the shot list and every planning task. Not the site, Settings or the team.
  • Photographer: uploads photos from the studio and sees the shot list.
  • MC: runs the Venue screen, the games and the lucky draw, checks photos, checks guests in and calls the ceremony queues.
  • Check-in staff: checks guests in at the door.
  • Viewer: can see the event but cannot change anything.

Every role can see the event, and everyone but a viewer can update their own planning tasks. What can each role do? on the Team page shows it all in one table. Only hosts and co-hosts can add, change or remove hosts and co-hosts.

Invite someone

  1. Under Invite someone, type their email, pick a role and choose Invite.
  2. A panel gives you a sign-in link to send them: Copy link, Send on LINE or Send on WhatsApp.
  3. When they sign in with that email, the event is waiting in their studio.

The link holds no password and no code: it only works for the invited email. Each team member and each open invitation takes one of the plan's Seats. When every seat is taken, free one or request more seats.

Invitation emails

When email is working, the panel says "We also try to email them". The email says who invited them, to which event, with which role and for how long, and has a Sign in button. It goes out in your studio language and never holds a password or a code. On a very busy day an email can be skipped, but the invitation still works: send the link yourself.

While email is not set up yet, the panel says that no email is sent. Share the link instead.

Open and expired invitations

An invitation stays open for 14 days and shows "Invited, not signed in yet". On it:

  • Share link again opens the same panel.
  • Renew gives it two more weeks.
  • Cancel invitation frees its seat, with Undo.

An invitation that expired before they signed in moves to Expired invitations for 30 days, with Invite again.

Hosts and changes

  • Make host adds another host. Transfer host hands the role over, and you pick your new role. Step down as host works while someone else stays host.
  • Remove takes someone off the team, with Undo. Leave the team removes yourself.

An event always keeps at least one host.

Workspace members

A planner's workspace has its own Workspace members. An Owner or Admin acts as host on every event of the workspace. A Member or Billing member works only on the events they are added to. Removing someone from the workspace leaves their roles on single events: remove those on each event's Team page.
